    Subject: Rate Contract for Refilling of Fire Extinguishers for use of IIMC.

    Sealed quotations are invited from firms/vendors/agencies having adequate experience and credentials for Refilling of specified Fire Extinguishers for use of IIMC. Firms/Vendors/agencies are requested to submit their quotations with sealed cover for the items as per prescribed format (as per Annexure – I) in the drop box at the office of the Senior Administrative Officer (Purchase) located in Administrative Building, (Ground floor), Indian Institute of Management Calcutta, D.H. Road, Joka, Kolkata-700104 by 2:00 P.M. on February 27, 2018. The quotation should be given on the basis of free delivery & refilling at various locations of IIMC, Joka Campus.

    The tenders will be opened on February 27, 2018 at 2:15 P.M. at the Office of the Senior Administrative Officer (Purchase), Indian Institute of Management Calcutta, Joka, Kolkata 700104 in presence of authorized attending representatives of the bidders.

    Terms & Conditions:

    1. EMD & Security Deposit: The tenderer needs to deposit EMD @5% of the total quoted value in the form of Demand Draft in favour of “Indian Institute of Management Calcutta”, payable at Kolkata which will be converted into Security Deposit for the successful bidder and will be retained till completion of the Contract. The EMDs of the unsuccessful bidders will be returned without any interest within one month from the date of opening of tender.
    2. The work has to be completed within 4 weeks from the date of issuance of Work Order.
    3. L1 Vendor will be selected based on the lowest quoted rate. However, the Institute has every rights to consider the other vendors subject to justification.
    4. Any re-type/over-writing, mistake in any calculation while quoting the item, the tender may not be accepted.
    5. Validity: The tender should be valid for 2 months from the date of opening of the tender.
    6. The Vendor should attach the self-attested copy of Trade License, PAN Card, GST Registration Certificate along with the Tender Form.
    7. The Vendor should attach the self-attested copy of Credential Details of relevant works.
    8. The Firm/Vendor should be registered Organization and having qualified technicians as per norms and guidelines given by the Fire Service Department and they also bound to obey the Rules & Regulations of the Fire Department, Govt. of West Bengal.
    9. In case of any damage during re-fillings caused to the equipment/IIM Calcutta’s property, the Firm/ Vendor/agency will be directly responsible for such damages as may be determined by the Competent Authority of IIMC to the extent of actual loss and damages has to be paid/recovered from Security Deposit.
    10. The Rate Contract for Re-filling of fire extinguishers shall be valid for a period of two years from the date of issuance of Work Order which may be extended for a further period of one year subject to satisfactory service & performance and as per requirement of the Institute. The Contract for refilling of 434 specified fire extinguishers needs to be completed as per guidelines and requirement of the Institute.
    11. The tender should be signed & stamped by the authorized person of the Firm/ Vendor.
    12. The incomplete & conditional tenders will be rejected.
    13. The Institute reserves the right to accept/reject any or all tenders without assigning any reason thereof.

    Terms & Conditions:

    1. The Bidder shall submit a copy of this bid document signed on each page, as token of acceptance of all terms and conditions mentioned therein.
    2. Rates shall be written both in words and figures. There must not be errors and/or over writings. Corrections, if any, should be made clearly and initiated by the authorized signatory of the bidder along with dates. If any variation is found between the amount written ‘in words’ and ‘in figures’, the amount written in words will only be considered.
    3. Cost of Bidding: The Bidder shall bear all costs associated with the preparation and submission of its bid and IIM Calcutta shall in no event or circumstance be held responsible or liable for these costs, regardless of the conduct or outcome of the bidding process.
    4. The Financial Bid (Annexure-II) shall be inclusive of GST and transportation charges to be paid by the Bidder for the Work/Service and any claim for extra payment on any such account shall not be entertained.
    5. No alterations or additions anywhere in the Bidder Document are permitted. Corrections, if any, should be made clearly and initialed by the authorized signatory of the bidder along with dates. If any of these are found, the Bid may be summarily rejected.
    6. All pages and pasted slips should be signed by the Bidder. Corrections, if any, must be signed. No page shall be added or removed from the set of Bid Document.
    7. The Bidder shall submit the Bid which satisfies each and every condition laid down in this tender document, failing which the Bid will be liable to be rejected. Conditional Bids will be rejected.
    8. All currency is to be quoted in Indian Rupee only. Taxes and levies as applicable at the time of submission of bids to be mentioned separately.
    9. Tender papers must be submitted along with the following documents:
      1. Copy of GST certificate
      2. Copy of PAN and Trade License
      3. Demand Draft of Rs.100/- (non-refundable) drawn in favour of “Indian Institute of Management Calcutta”, payable at Kolkata towards cost of bid document.
      4. EMD of Rs.20,000/- in the form of Demand Draft in favour of “Indian Institute of Management Calcutta”, payable at Kolkata.
    10. The Bidders have to furnish samples of paper (to indicate quality of paper) along with tender form for consideration of the tender committee. Supply must be made as per sample.
    11. If some of the document/annexures are missing, IIM Calcutta has the right to reject the Bid as INVALID Bid.
    12. The printing cost should be inclusive of all associated costs.
    13. Any software or associated hardware required to provide services under this engagement will be provided by the bidder at their own cost.
    14. Quoted rate should be valid at least for 03 months.
    15. The quality and specification be adhered to strictly. If not found according to our sample, supply will not be accepted.
    16. The lowest rate will not be the basis of claim to get the order.
    17. The vendor having adequate experience and credentials for doing such type of security printing work in IIMs, IITs, University etc. will be given weightage.
    18. Printing of Certificates and Grade Sheets needs to be completed within 4 weeks from the date of issuance of Purchase Order. If the supply is delayed beyond the stipulated time of completion of supply, penalty of 1% per week of total cost may be imposed at the discretion of Competent Authority. The penalty may be up to 10% of the total cost and also may result in cancellation of the order.
    19. Quantity may increase or decrease, payment will be made on actual basis as per quoted rates.
    20. The last date for submission of tender complete in all respects is 24th January, 2018 by 2.00 p.m. The Tender will be opened on 24th January, 2018 at 2-15 P.M.at the Office of the Senior Administrative Officer (Purchase) in presence of authorized attending representatives of the bidders.
    21. If the last date of receiving/opening of the tenders coincides with a holiday, then the next working day shall be the receiving/opening date.
    22. The selected vendor/firm may be considered for the said work for Convocation-2019 subject to satisfactory performance certified by the Chairperson-PGP and with same terms & conditions.
    23. All legal disputes shall be under the jurisdiction of Calcutta High Court only.
    24. IIM Calcutta reserves the right to reject one or all bidding without assigning any reason what so ever.
